The Operations for West Europe Region department act like a
contact center for all our direct and indirect customers located in Germany,
overseeing Order-to-Cash functions.
The activities and tasks are a mix between inbound and outbound
calls, and data management.
Key transition and operational processes:
Transition: Participate to the knowledge transfer and interact
appropriately with trainers and other contact persons of the local organization
Query Management:
- Receive incoming
calls, analyze, raise and log new queries
- Handle questions
or complaints from clients and third parties
- Open, monitor
and close tickets for all questions and requests received, using internal
ticketing tools
- Outbound calls
to clarify situation or to inform clients about different topics
Collections, Dunning & External Debt Collection:
- Conduct client’s
reminder actions, according to internal flow
- Process customer
requests to be excluded from dunning/ external debt collection, approve
and perform exclusion
- Perform actions
regarding collection, dunning and external debt collection in CIM/ SAP
system
- Process reports
and error logs
- Re-direct
tickets from customers to external suppliers
- Extract, analyze
and process reports
Support Credit Notes:
- Analyze and
process deviations between invoices and credit notes
- Investigate and communicate
with the customers potential deviations, and perform corrections into the
systems
Insolvency:
- Extract, analyze
and report insolvency cases to Finance department
- Prepare
insolvency documentation, obtain and perform approvals according to
internal matrix
Key abilities & competencies required:

Great communication skills, both written and verbal
·
Mandatory advanced level of German language (B2+/C1)
·
Good knowledge of MS Office package (Outlook, Excel, Word,
PowerPoint)
·
Equivalent knowledge and experience using ERP systems (SAP
preferential)
·
Client support/customer service experience
·
Focus on customer satisfaction
·
Detailed oriented and problem-solving skills
·
Ability to learn fast and adapt easily
·
Openness to travel in Germany or to Timisoara for training
purposes (costs covered by the company)
