What will you do in our team?

As a Front Desk Clerk you will  offer support to your direct manager and the management line of the company regarding all facility support and administrative responsibilities. You will will also be the first interaction and contact person for all the employees and the guests of the company.

 

What will you be doing?

Facility administration responsibilities:

  • Ensuring the good functionalities related to facility management aspects such as: building and grounds maintenance, cleaning, catering and vending machines, space allocation, utilities and communications infrastructure
  • Supervise and inform the cleaning and maintenance services providers about the site problems and ensure their solving; selective waste collection; printer rooms.
  • Offering support in organizing the workshops and other evens in the Site and outside it
  • Provides support to the management team and all employees in the issues they face, from the point of view of work ergonomics, environment, process development, procedures, etc.
  • Being the first contact person of all employees and visitors
  • Offering support of the onboarding related activities (badge printing, parking system updates, etc)
  • Maintains in order the storage rooms;

 Indirect procurement responsibilities:

  • Maintains a good professional relationship with the indirect facility suppliers (coffee, water, catering, other protocols, courier, cleaning, maintenance, etc)-order placing, stock tracker
  • Maintains the data base of indirect suppliers including the contract review;
  • Plan and organize essential services such as reception, security, maintenance, mail, archiving, cleaning, catering, waste disposal and recycling.

General management admin responsibilities:

  • Manages the office supplies for the entire group (from order to reception of the goods)
  • Prepares the necessary documentation and manages the postal activity of the group in relation with couriers.
  • Arranges accommodation and transportation services for site visitors and manages the associated protocol. 
  • Contracts workflow activities - Tracking compliance with the contract signing process; scanning; archiving;

 

What are we looking for?

·       A minimum experience in administration would be a plus.

·       Detail oriented, very organized, assertive communication skills.

·       Purpose driven, energetic and motivated person, long ride type .

·       English at advanced level. Any additional major foreign language is a plus.

·       Excel, word knowledge- medium level.
