This role is responsible for providing support to the organization by performing administrative tasks, coordinating the admin team, making sure all the relevant data is accurate, updated, and maintaining good communication with the General Manager and other relevant departments.

What you will do:

  • Coordinate meetings (reserving meeting rooms, sending invitations, updating distribution lists, bookings, and relevant documentation for visits and guests) in a timely and efficient manner.
  • Support General Manager’s participation in various meetings, and events and facilitate communication by assuring that all relevant information is presented accurately, updated on time, and in a structured way.
  • Prepare accurately and on time, required documentation for the purchase/sale of a company car (including contracts and all vital documents with the leasing company/employees, documents requested by the City Hall and authorities)
  • Connect with partners in an efficient, effective, and diplomatic manner and follow up on all tasks required for fleet management (signatures, number plates, fuel cards, etc.).
  • Make all needed fleet payments (local taxes, etc.) when applicable.
  • Handle travel and accommodation bookings and ensure they are made on time, accurately, and at a good price/quality.
  • Prepare expense reports accurately, timely, and in accordance with company policies and verify relevant and appropriate documents prior to submission to the finance department.
  • Make sure all relevant documentation is accurately archived.

For this role you will need:

  • Secondary/higher education
  • 2-3 years of experience in a similar position
  • Advanced knowledge of English
  • PC knowledge: Excel
  • Organization, prioritization, and planning skills!
  • Communication skills!
  • Initiative
